01 Who is responsible
This policy describes how Kakshlink Pvt. Ltd. handles personal information in Librospire, in line with the Digital Personal Data Protection Act, 2023 and other applicable Indian law.
- For library staff accounts and visitors to this website, Kakshlink Pvt. Ltd. decides how the information is used.
- For library members, each library decides what it records and why. Kakshlink Pvt. Ltd. processes that information only on the library's behalf and on its instructions, to provide Librospire. Members should contact their library first about their records.
02 Information we handle
Library staff
- Name, email address and phone number, and the library they work for.
- Password, stored only as a secure one-way hash.
- What they do in the panel where it matters for the record, such as who collected a payment.
Library members (entered by the library)
- Name, member code, contact details, address and date of birth.
- Membership type and dates, and a photo if the library adds one.
- ID proof type and only the last 4 digits of its number.
- Loans, reservations, fines and payments, and the password a member sets for their online account (stored as a hash).
Website visitors
- What you send through a contact or enquiry form: name, email, phone, library name and message.
- Technical information such as IP address and browser type, kept in security logs.
03 How we use it
- To run Librospire: the catalogue, circulation, member accounts, receipts, invoices and reports.
- To send service emails, such as due-date and overdue reminders, reservation notices, renewal invoices and password links.
- To keep accounts secure and to detect and prevent misuse.
- To reply to enquiries and give support.
We do not sell personal information, and we do not use library or member information for advertising or to build profiles.
04 Payments
Online payments are made on PhonePe's checkout or in the payer's own UPI app. Librospire never sees card numbers, bank details or UPI PINs. We keep only what is needed for the record: the amount, date, method and the payment reference (such as a PhonePe transaction ID or a UTR).
07 How we protect it
- Every page is served over an encrypted HTTPS connection.
- Each library's records are kept separate, and staff see only their own library.
- Passwords are hashed, payment keys are stored encrypted, and member photos and ID details are not public.
- Access to servers is restricted, and backups are taken regularly.
If we become aware of a breach affecting personal information, we will inform the affected libraries and the authorities as the law requires.
08 How long we keep it
We keep a library's information while its account exists. When a library is deleted, its staff accounts, books, members, loans, fines, payment records and images are permanently removed. Invoices issued by Kakshlink Pvt. Ltd. and related payment records are kept for as long as tax and accounting law requires. Contact form messages are kept for as long as needed to deal with them.
09 Your rights
You can ask to access the personal information held about you, to correct or update it, or to have it erased, and you can withdraw consent you have given. Library members should first ask their library, which controls their records; we will help the library respond. Staff and visitors can write to us directly. If you are not satisfied with our response, you may complain to the Data Protection Board of India.
10 Children
Libraries may register children as members. A library that does so is responsible for obtaining the consent of a parent or guardian. Librospire is not directed at children, and we do not knowingly collect children's information other than records a library enters for its members.
11 Changes to this policy
We may update this policy as Librospire changes. We will update the date at the top of this page and, for significant changes, tell libraries in their panel.
